The system of planning and accounting of working hours: UCS TimeKeeper


UCS TimeKeeper is designed to automate planning and accounting of personnel's working hours that allows you to optimize your employees 'operating schedules.

1. Personnel department operations:

  • Employment procedures
  • Dismissal procedures
  • Transfer to other position or department
  • Promotion (with and without increase in salary) etc.
  • Employees personal information (including those fired)

2. Setting performance standards for each category of employees

  • Minimum and maximum duration of a workday
  • Minimum and maximum duration of a workweek
  • Number of working days a week
  • Minimum interval between shifts
  • Hours of intervals depending on workday's duration
  • Keeping records of those being late, appear at work ahead of and beyond the schedule

3. Drawing up of personnel operating schedule

  • Developing of sample schedules
  • Establishing operating schedules for concrete category of employees, position and shift
  • Drawing up of individual schedules for each employee
  • Drawing up of integrated operating schedules for the whole division
  • Comparison of drawn scheduled with master-schedule (schedule of restaurant's demands for personnel)

4. Keeping records of hours worked

  • Comings and leavings of employees is recorded in the system by registration of their cards at any station (cash desk, waiter's station) or by a separate magnetic card reader
  • The possibility is available to apply restrictions to the registration in accordance with schedule (for example, coming of an employee may be registered only in the event he arrives not more than 5 minutes ahead of schedule)
  • On the base of actual hours worked, drawing up of a personnel summary time sheet (a summary time sheet is a plan-scale to record actual hours worked and deviation from standards for a certain position: duration of workday (with and without taking into account of intervals), hours between shifts etc.)
  • Drawing up of an employee's personal time sheet
  • Possibility for every employee to mark manually the time of coming and leaving through a marking window (information on changes is saved in reports)
  • Possibility to comment on the employees' time sheet (for example, "sent by the Manager for toothpicks")

5. Developing of master-schedules

  • Creating samples of master-schedules. A master-schedule records restaurant's demands for employees for a concrete position or a group of employees to operate during certain hours.
  • Drawing up of master-schedules (demands schedules) for a certain period
  • Possibility of automatic development of master-schedules on the base of POS system data
  • Possibility of exclusions from automatically developed master-schedules

6. Developing of reports

  • Report on schedules presents employees working hours (days if needed) in accordance with the integrated schedule of employees (including those fired)
  • Report on hours worked presents information on actual hours worked and is used for payroll accounting
  • Comparison between a schedule and a time sheet provides information on undertime/ overtime work.
  • Deviation from schedules shows all deviations from the schedules including absence, lateness, and comings ahead of and beyond the schedule.
