Professional system "UCS-Shelter" for hotels

UCS Shelter - it is new development of "UCS", essentially distinguished from other software of the company. New system allows to automate such processes as reservation, accommodation, resettlement, operation with accounts of guests, etc. All programs are interconnected, i.e. data transfer is carried out automatically. Thus you can carry out all-round automation of the hotel after installation of the system UCS R-Keeper in restaurants and bars, the storehouse accounting system UCS StoreHouse and the system UCS Shelter.

Brief description of capability of the system "UCS-Shelter" :

- automation of services of reservation and accommodation,
- hotel resources management,
- support of uniform system of non-cash payments for the guests and clients,
- automation of the current activity,
- conducting a database for the guests,
- multiple analysis of hotel activity,
- interaction with other systems.


The system "UCS Shelter" supports the hierarchical accounts (folio) at an opportunity to set restrictions on transactions and transfers with entering of the sums by the fact of service rendering as well as automatically; sale of complex packages of services at an opportunity of multistage recalculation of the actual cost; tariffs and tariff-contracts; conducting of a history of the guest and history of payments; open, group and special reservation by type of the room or by room.

The system "UCS Shelter" consists of a set of modules and core ensuring their integration and differentiation of the user powers. Such approach allows to collect automated workplaces with necessary functionality, to expand and replace functions without rebuilding of the system. For example, these workplaces can provide:

    1. Porter
    • accommodation of the guests (check-in)
    • payments of the guests (check-out)
    • current operation with the guest (registration of services and payments, resettlement from one room to another)
    • information about hotel condition
    • information about forthcoming arrivals and departures
    • functions of night audit

      Reservation department
    • reservation (individual, group, service) by type of the room or by room, cancellation of reservation;
    • printing of confirmations for reservation;
    • information about entering of a deposit for reservation;
    • analysis of the current and expected capacity;
    • viewing a history of the guest.


    3. Accounts department, site of operation with accounts of guests and clients
    • distribution of non-cash payments according to the bills of the guests and clients
    • analysis of payments with the companies and tourist agencies ;
    • drawing of a bills for payment;
    • reports on hotel financial activity ;
    • access to the archive of the bills.


    4. Office of hotel director (housekeeping)
    • keeping the directory of apartments and individual features of rooms
    • analysis of the current condition of the rooms ;
    • management over the status of a room (clean, dirty, faulty, out of sale) ;
    • other marks (change of towels, bed linen, bathrobe, required type of cleaning or repair, etc) ;


    5. Office of programmer
    • control over the interface with the system R-Keeper ;
    • control over the interface with telephone station ;
    • information about performed phone calls and their cost, about opening / closing of the certain class of telephone access in the apartments (should be supported by telephone station) ;
    • control over the interface with cable TV ;
    • information about performances of a chargeable TV channels ;


    6. Office of chief financial officer
    • control over the directory of a given services ;
    • control over packages of services and tariffs ;
    • control over the directory of room types ;
    • definition of a temporary periods and connected tariffs ;
    • definition of types and categories of guests ;
    • all kinds of reports, etc. ;


The system supports the hierarchical accounts (folio) at an opportunity to set restrictions on transactions and transfers with entering of the sums by the fact of service rendering as well as automatically; sale of complex packages of services at an opportunity of multistage recalculation of the actual cost; tariffs and tariff-contracts; conducting of a history of the guest and history of payments; open, group and special reservation by type of the room or by room; reservation according to the request, type of the room or room, etc. Information about restaurant checks, performed phone calls and view of TV programs is included into the bill of the guest automatically.


Technological performance

"UCS Shelter" has two-level technological performance [Active SQL-server notifying about changes] + [specialized client with intellectual cache].
The given performance provides effective and economic access to the general data via LAN allowing for all users to see changes directly after their execution with the aid of Windows-interface.
The system " UCS- Shelter " is well scaled and suits for large corporate customers requiring uniform control system for several hotels as well as for small hotels designed for several tens of beds
